We are currently seeking a highly motivated and detail-oriented HR Operations Executive (Offroll) to join our Human Resources team. About the Role:
As an HR Operations Executive (Offroll), you will be a critical part of our HR function, responsible for ensuring the smooth and efficient execution of various HR processes. This role is pivotal in maintaining accurate employee records, facilitating seamless employee lifecycle events, and providing essential support to both employees and management. You will work closely with the HR team and other departments to uphold our commitment to operational excellence and employee satisfaction. This is an In-Office role, requiring your presence at our Mumbai office to collaborate effectively with the team and engage directly with our employees.
Key Responsibilities:
- Employee Onboarding & Offboarding Management: Facilitate a smooth and welcoming onboarding experience for new hires, including documentation collection, background verification coordination, system access setup, and orientation support. Manage the offboarding process efficiently, ensuring all formalities are completed, including exit interviews, full and final settlement coordination, and documentation.
- HR Information System (HRIS) Management: Maintain and update employee data accurately and promptly in our HRIS. Ensure data integrity, generate reports, and assist with system enhancements or troubleshooting as needed. This includes managing employee profiles, organizational structures, and other relevant HR data points.
- Documentation & Record Keeping: Oversee the meticulous maintenance of all employee records, both physical and digital, ensuring compliance with company policies and legal requirements. This involves managing personnel files, contracts, performance reviews, and other critical HR documents.
- Policy Implementation & Compliance Support: Assist in the communication and implementation of HR policies and procedures. Ensure all HR operations adhere to relevant labor laws and internal guidelines, contributing to a compliant and ethical work environment.
- Employee Query Resolution: Serve as the first point of contact for employee queries related to HR policies, benefits, payroll, and general HR processes. Provide timely, accurate, and empathetic responses, escalating complex issues to senior HR team members when necessary.
- Payroll Input & Benefits Administration Support: Collaborate with the payroll team by providing accurate and timely inputs for monthly payroll processing, including attendance, leave data, new joinee details, and exits. Assist in the administration of employee benefits programs, ensuring employees are well-informed and supported.
- HR Reporting & Analytics: Generate various HR reports on a regular basis, such as headcount, attrition, leave utilization, and other key HR metrics. Assist in analyzing data to identify trends and provide insights that support strategic HR decision-making.
- Vendor Coordination: Liaise with external vendors for HR-related services, such as background verification agencies, training providers, and benefits administrators, ensuring service level agreements are met.
- Ad-hoc HR Projects: Participate in and contribute to various HR projects and initiatives aimed at improving HR processes, enhancing employee experience, and supporting organizational growth.
What We're Looking For:
- Experience: A minimum of 1 year and a maximum of 3 years of progressive experience in HR Operations, HR Administration, or a similar role.
- Education: Bachelor's degree in Human Resources, Business Administration, or a related field. A Master's degree or relevant HR certification is a plus.
- Location: Mumbai, This is an In-Office position.
- Technical Skills: Proficiency in HR Information Systems (HRIS) and Applicant Tracking Systems (ATS).
- Strong command of Microsoft Office Suite, especially Excel (for data analysis and reporting), Word, and PowerPoint.
- Familiarity with Indian labor laws and compliance requirements.
- Soft Skills: Exceptional attention to detail and accuracy in all tasks.
- Excellent verbal and written communication skills, with the ability to interact professionally with employees at all levels.
- Strong organizational and time management abilities, with the capacity to prioritize multiple tasks effectively.
- A proactive and problem-solving mindset, with the ability to anticipate needs and resolve issues independently.
- High level of integrity, discretion, and confidentiality when handling sensitive employee information.
- Ability to work effectively both independently and as part of a collaborative team.
- Customer-service oriented approach, with a genuine desire to support employees.
